FOR OPERATIONS

Back-office without the manual routine

Requests get lost between departments, deadlines live in someone’s memory, and you hear about a missed one from the customer. The AI assigns each task to an owner with a deadline and flags a delay the minute it happens.

DEPARTMENT PAIN

Where tasks get lost between departments

The process lives in chats, Excel and people’s heads. At every handoff the task loses its owner and its deadline.

One request’s path without a systemBatch return · four departments · three days

  1. Mon 10:20 · SalesCustomer asks to return a batch. The sales rep jots it in a notebook
  2. Gap: forwarded to a personal chat
  3. Mon 17:40 · WarehouseStorekeeper adds a row in Excel, no deadline
  4. Gap: “thought accounting had it”
  5. Wed 11:00 · AccountingAccountant waits for the warehouse to confirm
  6. Wed 16:30 · customer calls the CEO

The manager learns about the request from a complaint, not from the boardWith AI every handoff is a task with an owner and a deadline

Illustration, not a measurement
  • Routine eats the team’s time

Statuses and routine questions take hours from people

  • Data scattered across systems

1C, Excel and chats: reconciling takes longer than working

  • Manual notifications and calls

Staff phone around by hand — slow, with gaps

  • No single control of processes

Delays surface late — from a customer complaint

SCENARIOS

Three processes the AI runs on its own

Today rules, call-arounds and statuses rely on staff memory. The AI runs them itself, and every action is visible in the CRM.

FULL CYCLE

How does AI automate back-office and operations work?

An AI employee (AI agent) for an operations team is an AI CRM with automations: every request becomes a task with an owner and a deadline. The AI closes routine work itself, and every action is written to the audit logs.

  1. Event

An email, call, message or 1C record

  2. Task

Creates a task with a type and priority

  3. Owner

Assigns by department or in rotation

  4. Deadline

Sets a deadline and reminds ahead of it

  5. Decision

Staff decide, the AI tells the customer the outcome

  6. Closed

Task closed, history in the audit logs

One path for calls, email, Telegram and 1C — only the source changes

Six steps: event, task, owner, deadline and reminder, staff decision, closing with an audit log entry.

DIVISION OF LABOUR

What does the AI do, and what stays with the team?

The AI takes the steps that repeat every day. The team decides where judgement, money and accountability are involved.

The AI does

  • Creates tasks on events and assigns owners
  • Reminds about deadlines and escalates delays
  • Calls and notifies customers
  • Answers on statuses from 1C and the CRM
  • Scores process calls against a checklist

The team keeps

  • Exceptions and non-standard cases
  • Money: refunds, discounts, compensation
  • Department workload and moving deadlines
  • New rules and procedures

The AI hands over the task with the full request and call history, so no one asks twice

TRANSPARENCY

Routine moves to AI — the team works with people

Process quality used to be judged on a handful of calls someone listened to. Now every call is scored against a checklist, and breaches are visible by morning.

QUESTIONS

Frequently asked

Which back-office processes can be automated?

Opening and closing tasks on events, deadlines, reminders and escalations, routine customer and employee requests, order and payment statuses, confirmation calls and notifications, and reconciling data between systems. Decisions that need human judgement stay with the team: the AI prepares the context and hands the task to an owner with the full history of the request and calls.

Does the platform integrate with 1C and our systems?

Yes. It connects to 1C, ERP, telephony and CRM. Products, prices, stock levels and payment statuses arrive from 1C in real time, the other systems are linked through the API and webhooks from the Business plan, or with your own integration on the Enterprise plan by quote, and telephony works with any PBX. You don’t need to rewrite existing systems: automations are configured on top of what already runs.

How safe is this for internal data?

Access is role-based, every action is written to audit logs, and personal data is masked by default. For regulated data an on-premise deployment inside your own perimeter is available, and the list of integrations and role permissions is agreed during the security review.

Which languages does Voice AI work in?

Uzbek, Russian and English, in voice, with the language switching inside a single call. The other person answers in their own language, and the outcome returns to the card as text: a transcript, what was agreed and the next step. There is one call script, with no separate setup per language.

How do we see where a process gets stuck?

Every task and every call stays in the system with a date, an owner and a status, so overdue items and stalled stages appear on the board the moment they occur, not in a report a month later. Call analytics adds the reasons behind repeat requests. Call reviews on the Start plan are capped at 300 a month, and the Business plan lifts that limit.

How long does it take to launch AI in operations?

You launch the SMB scenario yourself: describe the process, connect the channels and switch on the automation rules — from 2 hours to the first automatic task. An enterprise setup with ERP integration, role-based access and on-premise deployment takes up to 30 days, including the security review.
